Administration Officer

Primary Function

Assume responsibility for, and maintenance of, the day to day company administration.

For operational details of all activities, please refer to the written GA Office Administration Procedures (GP1)

Main Responsibilities

Accounts and Administration

Desk based stock control
Sales Invoicing
Maintain accurate and up to date Cash, Purchase and Sales ledgers (Manually and/or on Excel)
Attend to client and supplier invoice queries
Prepare and complete monthly cheque runs
Maintain and Reconcile Petty Cash
Reconcile Vat each quarter
Taking daily / weekly back-ups and Implementing any changes to our back-office system
General Filling
Data Protection Officer (DPO)

Facilities Management, including:

Contract and Utility management
Buying/Purchasing (including negotiating favourable rates)
Waste disposal, including hazardous waste, scrap runs etc
Archiving for both Admin and Sales
Maintaining a tidy and fully stocked Samples room

ISO 9001:2015 (Full training will be given, if necessary)
Quality Representative (working with our Quality Manager) - audits, procedural amendments, Corrective Action Record maintenance and analysis

Ad hoc Administrative duties as and when required

Person Specification

This role would ideally suit a second/third jobber who has worked within an administrative environment.

The right candidate would possess a relaxed and confident manner, be a logical thinker, practical and pragmatic.

They would be careful and meticulous, is able to concentrate for long periods of time on one project.

In addition, this person would pick up matters of details quickly, spot variances and errors with ease and would stick to rules and procedures.

They would need at least 5 years admin experience, can multitask and prioritise, with good data entry skills and an eye for detail.

Necessary Skills & Experience

*Higher level education, including GCSEs in English and Maths
*Ability to complete and understand figure work/calculations
*Intermediate knowledge of Microsoft Office, including Word, Excel, Outlook
*Clear and pleasant speaking voice
*Ability to work alone and manage one's own workload
*Organised and a logical thinker
*Able to multi task
*Proactive, positive and flexible approach to work
*Self motivated and able to use own initiative
