Administration Officer PART TIME

Within this role you will be responsible for:

  • Organise and support providers for travel, communications, transport, catering, stationery, invoicing, archiving, post, couriers, internal and external guests, IT, telecoms, parking and general reception, office administration and housekeeping
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Assist HR with organising induction programs for new UK employees
  • Record office expenditure and manage the budget
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Subscription renewals and troubleshooting
  • Organise wider office functions (Christmas Party, Summer Party, and other events as and when required)
  • Ensure security, integrity and confidentiality of data
  • Establish and monitor procedures for record keeping
  • Set-up of all new IT Equipment, liaise with IT Contractor for all new IT requirements (including new starters), assign work station, carry out assessments, start-up stationery, assign extension number, issue access passes explain systems and procedures
  • Regional contact for Admin UK Team
  • Assist HR with reviewing and updating the company's policies as including the Health and Safety Policy and arrange checks accordingly:
  • Assist with Health and Safety audits, Risk Assessments, First Aid, Fire Warden Tasks, Emergency Procedures, PAT Testing

Experience required

  • Proven experience as an Office Administrator
  • Ability to pick up new technological advances quickly and support UK team when needed
  • IT proficient: MS word, Outlook, PowerPoint, Excel, Internet Explorer basic abilities

Hour of work = 20 hours per week Monday to Friday or Monday to Thursday
