Location: Norfolk

Salary: Pro rata - £12,139 - £12,664 FTE £15,807 - £16,491

Duration: Full Time, Permanent - Term Time Only, 35 weeks per year

The Company

Our client is an expanding multi-academy trust with both primary and secondary schools in Norfolk and Suffolk. The finance operation that supports these schools is based at a college.

The Post

Our client is looking to recruit a flexible and personable administrator to work 37 hours per week on a permanent basis.

The post-holder is required to work independently to assist and support the Administration and Reception Teams with a variety of administrative tasks.

On appointment, the successful candidate will be required to complete a six month probationary period.

Our client a is member of the a trust, which is currently led by the Executive Principal of the college as CEO.

Administration Assistant Job Specification

The Administration Assistant is responsible, under the direction of the Administration Coordinator, for providing administrative support to the central administration team and covering reception as required.

  • Cover Reception and or PSSO as required (Reception cover - half hour at lunch time during term time and full time in holiday periods, PSSO cover - illness)
  • Enter and extract data on Schoolbase and respond to parent enquiries regarding their access to Schoolbase. Distribute to relevant areas up to date copies of Student Data Sheets each time amended
  • Participate in the College's programme of Performance Management and Continuing Professional Development
  • Answering external and internal calls and redirecting if required
  • Provide administrative support to the PSSO, Headteacher's PA and other office staff
  • Assist with the administrative aspects of College events
  • Send out Schoolbase messages
  • Maintaining the College telephone directory
  • Production of College roll numbers termly
  • Production of term dates for Academic year and working school days for teachers;
  • Arranging, preparing and facilitating meetings as directed by the Administration Coordinator;
  • Undertake other duties and responsibilities as the line manager may reasonably require.

Person Specification

The personal competencies are:

  • A good level of literacy and numeracy (at least level 2 in English and Maths);
  • The ability to communicate clearly and tactfully using appropriate methods and an awareness of the impact of your own communication on others
  • Able to maintain positive relationships with all and able to work as an effective and flexible part of a team; willing to change methods of work and routines to benefit the team
  • Willingness to accept responsibility for your own actions; the ability to prioritise effectively, meet deadlines and accept challenges
  • Be adaptable and resilient in managing and executing their daily responsibilities

The professional competencies expected of an Administration Assistant are:

  • Be organised and able to manage, plan and complete daily and weekly tasks in a busy office environment;
  • Have good communication skills in person and in writing to respond to staff, governors, parents, students and visitors
  • Be flexible in managing, planning and executing daily, weekly, monthly workloads in a busy reception and office environment Have track record of successful administrative experience in dealing with confidential material
  • Be familiar with the use of Information and Communications Technology and the Microsoft Office package
  • Be able to maintain confidentiality and committed to providing the best possible service to the staff, governors, students and parents
  • Be adaptable and resilient in managing and executing their daily responsibilities
  • Have a sound track record of successful administrative experience
  • Be interested in developing a career in administration within an educational setting.
