Administration Assistant

The Company

We are proudly representing our public sector client based in Ashington, Northumberland for their search for an Administration Assistant. They now have an immediate requirement to recruit for a temporary assignment to start as soon as possible till March 2018.

The Role

  • Provide Admin support including format documents, typing, incoming/outgoing post, updating systems, answering telephone
  • Acting as first point of contact for service users and if necessary using specialist knowledge to signpost as necessary to other disciplines, departments and agencies
  • Inputting information onto the central database
  • Assisting with diary management, faxing and photocopying
  • Producing and responding to complex and/or confidential correspondence
  • Providing administrative and organisational advice to other staff
  • Arranging venues for meetings and training as required
  • Maintaining an inventory of office equipment in the locality
  • Taking responsibility for timely procurement of office supplies
  • Undertaking word processing and more complex IT tasks
  • Preparing handouts for training courses and presentations.
  • Contribute to the overall ethos, aims and work of the service
  • Communicate effectively and constructively with all team members to ensure a smooth transition during the ongoing period of change
  • Recognise and use own initiative, strengths and areas of expertise to advise and support others
  • Participate in training, performance development and other learning activities as required

The Person

  • Experience within administration
  • Good standard of education
  • Operating a PC and using Office packages eg Word, Excel
  • Working as part of a team
  • Ability to communicate sensitively and effectively with a wide variety of people, both in person and over the telephone
  • Ability to be persuasive, diplomatic and practical
  • Good listening skills
  • Good organisational skills
  • Ability to work within clear policy of confidentiality
  • Commitment to working as part of a team
  • Ability to work to deadlines
  • Flexible approach to duties on or off normal base
  • Able to work with minimum support
  • Willingness to undertake any appropriate training and development as required
  • Able to meet the physical demands of the job
  • Observes a personal duty of care in relation to equipment used in his I her daily work
