This award winning, progressive and respected company are looking for an administration assistant to join their busy team.
•Update in-house system, entering relevant project information, ie Address, Main Details, Programme, Project Staff and Project Team.
•Enter tender number onto server in Pre-Construction File and set up standard file tabs.
•Download tender documents from portal, website, email etc if required. Save tender documents onto server - consult with relevant Estimator as to how he/she wants documents saved.
•Check all tender documents against tender letter, drawing registers etc. Email consultant and estimator if any documents are missing.
•Acknowledgement of tender to appropriate consultants.
•Print off tender documents, set up tender files and file documents as necessary.
•Set up correspondence file
•Organise courier if required.
•Set up and update tender drawing/document schedule/register if required.
•Save all tender amendments onto server and print off as necessary.
•Produce/check subcontract/material chaser sheet.
•Check all sub-contractors/suppliers have received enquiry if this has been sent out on Conquest Online Enquiry System.
•Set up hard copy sub-contractor/material quotation folders with sections for each trade. Print off quotations/responses and file as necessary.
•Check with Estimator when they require sub-contractors to be chased
•Assistance in setting up mid-tender review meetings,
•Assist Estimator with tender submissions
Office based administration experience
IT literate including word and excel
Construction industry experience an advantage
Working hours Monday to Friday 8.30 - 5pm
