Administator // Data Administrator (FTC)

Great opportunity to join my client in their Hendon office.

Working in a small and busy team, your responsibilities will include:

  • Creation of records on various systems and using spreadsheets
  • Liaise with employees to book them into clinics and send reminders etc.
  • Ensure optimal attendance at clinics and liaise with line managers where necessary
  • Respond to queries
  • Manage clinic schedules
  • Prepare clinic paperwork and work closely with clinical team
  • Monitor and chase up receipt of forms and questionnaires
  • Send reports out to employees and managers
  • Monitor emails for and update the system and spreadsheets in regards to Starters/Leavers
  • Provide clerical support to the clinical team
  • To identify all hard copy medical records and define their retention period in line with Data record policy
  • organise and structure destruction and or archive process for hard copy records
  • Liaison with the clients, their employees, senior management and HR
  • Liaison with the clinical team and administrators
  • Ensuring the highest quality in terms of customer service to the client
  • Ensuring the service levels are adhered to
  • Data input into IT systems - ensuring it is always up to date and accurate

Skills, Qualifications and Experience:

Essential:

  • At least two years’ experience in a demanding administrative role
  • Accuracy and attention to detail
  • Fast, accurate data input
  • Excellent communication skills (written, verbal & telephone)
  • Excellent interpersonal skills with the ability to liaise with stakeholders at all levels both internally and externally
  • Proven record of excellent customer service delivery
  • Ability to work under pressure
  • Ability to use own initiative
  • Commitment to and ability to work well as part of a team
  • Good IT skills with knowledge of MS Office application and experience in relation to Outlook, Word, Excel and PowerPoint
  • Ability to understand internal IT systems utilised with appropriate in-house training given
  • High standard of planning and organisational ability and excellent personal organisation skills
  • Flexibility and ability to work as part of a team

Desirable:

  • Experience in a healthcare environment
