REED Business Support are recruiting for a temporary ADMIN & CLERICAL SUPPORT (full time), for our fantastic client in Taunton, Somerset.

To provide a professional Business Support services complying with specialist / statutory frameworks. Provides advice, guidance and appropriate support to clients, managers and professionals.

May include the supervision of staff providing a full range of administrative and clerical services.

Key Accountabilities
Provides advice and guidance to Clients, Managers and Professionals via email, telephone and face to face in relation to complex processes and procedures often involving sensitive, specialist or confidential matters.  Alerts appropriate officers to any contentious responses.

Provides support for meetings, panels and other forums in line with defined procedures, timelines and accuracy standards. Some of these meetings may be multi agency

Initiates, operates and monitors the progress of multi-disciplinary processes and procedures providing information and guidance on deadlines and procedural matters to professional officers, clients and other stakeholders.

Prepares routine legal and appeal type documentation, investigating information and claims to be included in such documentation.

Prepares and processes orders for goods / services.  Receives and checks delivery notes, raises invoices and monitors accounts.  Approves invoices for payment within agreed parameters.  Deals with general queries from colleagues, suppliers and clients relating to these processes.

In some assignments will provide a range of administrative assistance to a group of professional officers and / or managers including:
scheduling and co-ordinating work programmes and meetings;
maintenance of diaries;
making appointments / organising meetings and booking venues;
minute taking and circulating to stakeholders who could be multi agency;
draft correspondence based on brief summary of requirements.
undertake website maintenance / uploading.
Carries out research / project work as required
Updates and maintains a variety of computerised record systems (including financial systems) to input, extract and amend information.  Deals with general queries and produces reports as necessary and may extract statistics for use by officers in making statutory returns and providing management/financial information
Contributes as requested to the development and improvement of Business Support services

Knowledge and Skills:
The appropriate education / qualification for this post is a minimum NVQ 3 standard / 5 GCSEs including Maths and English at C or above combined with demonstrable standards of numeracy and literacy.

Sound understanding of the office environment in order to provide effective administrative support.  Knowledge and experience in the use of IT systems / finance systems such as spreadsheets, word processing and databases.  The ability is required to identify problems, take appropriate action or seek advice.
