Our client is a global distribution company who are looking for a conscientious, reliable Administrator who will apply attention to detail, relationship building and team work to their role.
You will be responsible for all arrangements being made to ensure distribution is carried out 100% accurately for their clients from first knowledge of a pending job to invoicing and reporting.
You will answer the telephone, take messages, deal with queries and solve problems effectively. In addition you will give attention to detail whilst raising quotations, invoices and ensuring clients are satisfied at all times. You will have excellent organisational skills with the ability to respond to clients accurately whilst also preparing an invoice or tracking a delivery and dealing with an internal investigation. Ability to multi task effectively is a must for this role.
An ideal candidate will be confident, flexible, reliable, numerate with good English language and literacy and a positive attitude to hard work. Candidates will be required to use various computer programs including Microsoft Word, Excel and Outlook as well as our internal systems for which training will be provided.
A good telephone manner is essential as is the ability to provide clear communication by email. Candidates should show initiative and work well under pressure.
The hours for this position are Monday to Friday 10.30am - 7.00pm.
Duties will include: Answering the telephone and emails
Dealing with quotations, queries and complaints
Investigating internal and external queries and providing an outcome to client or staff within a timely fashion Data entry into bespoke programme to produce client invoices and reporting
Meeting Deadlines internally and externally
Liaising with staff internally and service providers to ensure client satisfaction at all times Making tea & coffee for the team and clients when requested
General Office Administration
