Office Manager & Patient Coordinator Salary: £35,000 - £38,000 FTELocation: Sawston Job Type: Part-time (Monday, Thursday, Friday | 8:30am – 5:00pm) Our client is seeking a highly organised and proactive Office Manager to lead the day-to-day operations of their Sawston office. This role also includes responsibilities as a Patient Coordinator, ensuring their private patients receive a personalised and supportive experience throughout their treatment journey. Day-to-day of the role: Office Management Lead the daily operations of the office, ensuring a professional, efficient, and welcoming environment.Supervise and support all staff, both admin and clinical including scheduling, task delegation, and performance oversight.Monitor office resources and liaise with suppliers to maintain stock levels and equipment functionality.Ensure compliance with health and safety regulations and internal policies.Coordinate internal communications and team briefings to maintain alignment on service standards and operational updates.Support onboarding and training of new staff members.Act as the first point of contact for internal queries and escalate issues appropriately.Maintain accurate records and contribute to audits, quality improvement initiatives, and clinical governance activities. Private Patient Coordination Serve as the named contact for private patients, providing continuity and reassurance throughout their care journey.Meet and greet patients, offering a warm and empathetic presence during appointments and procedures.Handle telephone and email queries with professionalism and sensitivity.Conduct reminder and post-operative follow-up calls to ensure patient wellbeing.Manage appointment bookings, patient records, and payment processing.Liaise with consultants to ensure timely and accurate sharing of patient information.Ensure all clinic correspondence is sent out promptly and accurately.Respond to patient queries and complaints with tact, diplomacy, and kindness. Required Skills & Qualifications: Proven experience in office or team management, ideally in a healthcare or customer service setting.Strong leadership and organisational skills.Excellent verbal and written communication abilities.Empathetic and patient-focused approach.Ability to manage a busy and varied workload with calm efficiency.Proficient in Microsoft Office and confident in learning new systems.Self-starter with initiative and a collaborative team spirit.Committed to delivering consistently high standards and continuous improvement.
