Project Coordinator – Events/Sports Logistics – HeathrowHeathrow, Greater London | £35,000–£45,000 per annumWe are recruiting an experienced Project Coordinator to join a specialist Projects and Events Logistics team based in HeathrowThis is a predominantly air export position, coordinating international freight movements for exhibitions, conferences, live events, corporate activations, touring productions and other specialist projectsPrevious air export freight forwarding experience is essential; however, full training can be provided across project freight, time-critical logistics, road and ocean freightKey ResponsibilitiesManage start-to-finish air export shipments for international projects, exhibitions and eventsArrange flight bookings, collections, deliveries and specialist transportPrepare export documentation, including commercial invoices, packing lists, air waybills and customs paperworkComplete export customs entries and ensure shipments comply with international regulationsDevelop detailed shipment schedules around fixed event, build-up and breakdown deadlinesLiaise with airlines, hauliers, warehouses, customs agents, overseas partners, venues and production teamsTrack air freight shipments and proactively resolve delays, disruptions and last-minute changesCoordinate the movement of exhibition stands, AV equipment, production materials, merchandise and specialist project cargoAdvise clients on routing, lead times, freight costs and documentation requirementsObtain freight quotations and compare carrier and supplier ratesMonitor shipment costs and ensure accurate invoicing and job costingMaintain accurate freight records and provide regular updates to clients and internal teamsSupport road freight, ocean freight, temporary imports, re-exports and ATA Carnet movements following trainingIdentify potential logistical risks and implement appropriate contingency plansSupport on-site event logistics and time-critical deliveries when requiredEssential Skills and ExperiencePrevious air export freight forwarding experienceExperience managing air export shipments from collection through to final deliveryGood understanding of export customs procedures and international shipping documentationExperience preparing air waybills, commercial invoices and packing listsStrong organisational skills with the ability to manage multiple shipments and deadlinesConfident communication skills when dealing with clients, airlines, suppliers and overseas agentsStrong problem-solving skills and the ability to remain calm under pressureGood IT skills, including Microsoft Office and freight forwarding systemsAbility to commute to the Heathrow officeDesirable ExperienceTime-critical or urgent air freight experienceProjects, exhibitions, events, touring or production logistics experienceKnowledge of ATA Carnets and temporary import and export proceduresExperience across road freight or ocean freightExperience working with venues, exhibition centres, event agencies or production companiesDangerous Goods awareness or certificationExperience within events or time-critical logistics would be advantageous, but it is not essential as full training will be providedWhat’s on OfferSalary of £35,000–£45,000, dependent on experienceSpecialist training across projects, events and time-critical freightOpportunity to develop experience across air, ocean and road freightExposure to high-profile UK and international projects and eventsProfessional development and career progression opportunitiesCollaborative and supportive team environmentIf you are an experienced Air Export Coordinator, Air Export Operator, Air Freight Export Clerk, Freight Forwarder or Export Operations Coordinator looking to develop within projects and events logistics, apply today for immediate consideration
