Facilities Manager/Contract Manager This role is working on a prestigious retail centre within Kingston upon Thames. The Role To ensure that the Company delivers on its contractual obligations professionally, in line with best practice, on time and in a cost-efficient manner. Duties & Responsibilities Ensuring the Company always meets its contractual obligations professionally and safelyTo be fully conversant with the contract and deliverablesTo provide monthly status reports on the centre performance.Liaising regularly with the client Lead to review the workforce and centre performance.Ensure that all invoicing requirements are with the finance team in a timely manner each month to enable the business unit to meet its forecasted turnover month on month ensuring that the information provided is accurate & in the format agreed.Manage the WIP for the contract and report on it for the end of month trading accounts ensuring no aged WIP is present.Manage the P&L for the contract identifying any challenges positive or negative and taking appropriate action to keep the contract on budget.Ensure quotations are produced by the team, and where necessary produce these for additional works as required and on time, in line with Company guidelines.Manage the assigned contract engineering team ensuring that excellent service delivery standards are always achieved. This will be completed via regular audits both physical and electronic and reported to the Account Director as requested, develop, upskill and maintain a high calibre team with high levels of morale and motivation and develop initiatives for progression.The employment of relevant competent staff and completion of staff inductions as required by the Company directives.To produce and validate risk assessments and method statements for the works.To ensure that all HSE audits are completed in the month and in line with the agreed schedule and Company guidelines. Such reports being submitted to the HSE manager for the account or his/her line managers as required.Managing subcontractor activity on site ensuring that their contractual obligations are being met and that any potential savings are identified and reported to the client.Checking on PPM activity to ensure quality professional workmanship has been carried out and is on schedule. This is to be both ad-hoc and formally with findings presented to the Account Director on completion.To develop and maintain excellent client relationships, building reputation and lines of communication.Manage audit tracking reports on the client’s systemProvide support and take ownership of audits so that 3rd party audits of over 95% are achievedComplete the clients KPI surveys as required on the clients CAFM systemMonitor, review and action all outstanding actions/tasks on the clients CAFM systemProduction and presentation of monthly reports to the client using the agreed templateCovering the call out rota with the other contract managers on a rotating basis.The production of technical and situational reports as required.Carry out personal development reviews as required under Company guidelines.Produce development plans for all subordinates on the assigned contract and present to the Account director 6MUnderstand and be aware of the requirements of all relevant Health, Safety, Environmental and Quality legislation and ensure that all staff are equally aware of their own roles and responsibilities within the Company.Actively manage and participate in the health and safety processes required under the Company policies and procedures on portfolio including, but not limited to, accident investigation, reporting, risk assessments and auditing.Ensure that all materials and equipment are handled, stored, and used with due regard to the relevant Health, Safety and Environmental legislation.Any other reasonable instruction from line ManagerCo-operating with the company to allow it to fulfil its moral and legal duties and obligations.Integrate into centre management team with a "one team ethos" attending management and operational meetings.Participate in weekend rota as on-site centre duty manager, this will include but not limited to, M&E, Cleaning, Security & general operational decision makingParticipate in weekly early/late shifts to cover on site duty manager role.Provide technical support for the contract and actively participate in projectsHave a proactive approach and excellent communication skills with the ability to support the entire centre team where required.Support & liaise with landlord and retailer’s contractors and provide support for permit to work system with H&S management.Actively look for initiatives to reduce energy and offset current estate activities to help meet net zero carbon goals.
