Office Manager Executive Administrator - £40-50K plus bonus and benefitsLocation: Staines - Hybrid working (3 days in office)Reporting directly to the CFO and Sales Director, you will be supporting a team of 18 in London, in a varied and interesting role It is largely working environment, whereby you will be able to implement your own ideas and procedures if you wish to. The incoming hire will be replacing a long serving employee, who will be retiring. The role will require someone who is highly organised, has a good grasp of Microsoft packages and is able to use a CRM database.The ideal candidate will have experience of working in a a similar role. Executive Leadership Support & Office Management:Provide high-level administrative support to the Senior Management and office personnel globally. Ensure smooth communication and operations by acting as the key point of contact between executives and internal/external clients. Manage all office operations across multiple locations, ensuring services run efficiently. Coordinate foreign and domestic meetings, such as global trade shows, and company-wide conferences. IT & Office Equipment Management:Collaborate with the IT companies to ensure all office equipment functions correctly and employee issues are resolved promptly. Maintain a detailed inventory of office computer equipment and manage company phone systems and cell phone plans, troubleshooting issues as needed.Onboarding & Personnel Support:Play a key role in onboarding new employees, offering administrative guidance and support to ensure a smooth transition into the company. Assist personnel globally with administrative and logistical support, ensuring smooth daily operations.Vendor & Supply Management:Work directly with vendors to manage office supplies, including coffee and drinks, etc. Coordinate with external vendors for promotional events including conference exhibitions. Create and develop printed promotional literature such as brochures and Product Line cards, in concert with relevant sales personnel. Foster strong relationships to ensure smooth, timely delivery of services and supplies.Calendar & Travel Management:Handle complex calendar management, travel arrangements, and meeting coordination for global executives, successfully managing schedules across multiple time zones. Ensure the seamless planning and execution of events both locally and internationally. Coordinate scheduling of international meetings sand trade shows where schedules of customer attendees and internal personnel needs to be aligned to ensure a zero-defects meeting's agenda is created, including meeting room assignments. Coordinate hotel and restaurant reservations at the venues.Social Media & Digital Marketing:Manage social media platforms for both the USA and Europe, driving brand visibility and engagement through targeted campaigns. Collaborate with marketing companies to align strategies and maintain consistent messaging across channels, including LinkedIn, email, and the company website. Develop product videos and other promotional content for LinkedIn and newsletter campaigns.Marketing Campaigns & Data Analysis:Coordinate and execute impactful marketing campaigns, managing both website business communications and social media platforms for the USA and Europe. Analyse campaign data to optimise future strategies, driving continuous improvement.Sales & Marketing Materials:Develop and coordinate the production of sales and marketing materials, including company product brochures, presentations, and customer invitation lists for trade shows. Support sales managers with critical preparation tasks for key events.Event Planning & Execution:Lead the planning and execution of corporate events, promotional campaigns, and trade shows. Oversee all aspects, from vendor coordination and logistical planning to the creation of marketing materials and post-event analysis. Play a crucial role in organising company trade shows globally, taking full ownership from start to finish.Multitasking & Problem Solving:Demonstrate exceptional multitasking abilities by managing a diverse range of responsibilities in a fast-paced environment.
