Job Title: Administrator Location: Hybrid - Homebased and working in the office based in Melbourn, Royston (SG8)Salary: £22,816Hours: 37.5Length of the contract: 30th April 2024 Gi Group are now seeking to appoint an experienced Administrator to our Public Sector client based in Melbourn. The Administrator will provide secretarial and administrative support the Resilience and Specialist Operations (RSO) Department and will be responsible for providing administration support to the RSO Management Team, including the scheduling of staff, and the effective deployment and allocation of resources. The Postholder will act as the primary point of contact and communication in relation to RSO administrative issues with Operational Managers, staff, and other departments. Duties of the Administrator Undertake secretarial and administrative duties using Microsoft Office packages such as opening mail, electronic media, andpreparing documents with a high degree of accuracy. This includes establishing and maintaining office systems, both paper and electronic, to high standard, as required by the RSO Management Team.Communicate with operational staff and Managers regarding training course availability.Manage diaries for, and on behalf of, the RSO Management Team, exercising discretion in making appointments and coordinating dates.Organise Managers' meetings including recording of the minutes and ensuring agendas and action logs are maintained and circulated.As directed by the RSO Managers, process and deal with documents which have a Government security classification, with the appropriate sensitivity and confidentiality.Ensure that the updating of emergency, pre-planned, and other plans for the department are placed within the IT SharePoint for access by all RSO staff.Ensure various databases, both RSO and organisation led, are updated with department training and operational records.Process monthly timesheet and expenses summaries for Payroll purposes and Managers' monthly mileage forms for Payroll and finance purposes.Make travel and overnight accommodation arrangements, where required.Maintain and update department annual leave, sickness absence, and rotas using IT systems.Assist the RSO Support Technicians with the production of spreadsheets, such as training records and monthly callout logs. Maintain information and records for the department. Role Criteria 3 GCSEs or equivalent, including English and Maths.OCR Certificate in Office Practice skills or equivalent.Full UK Driving Licence.NVQ Level 3 in Business Administration or equivalent.Ability to deal with a high volume of work whilst maintaining standards and meeting deadlines.Competent in the use of relevant Microsoft Office packages, including proficient use of Word and Excel.Accurate and advanced keyboard skills.Ability to liaise and communicate effectively with staff and Managers at all levels in the organisation, including Managers from external organisations.12 months' previous experience within an administrative role.Previous Public Sector experience is desirable.Sensitive, tactful, diplomatic, and empathetic in your approach to difficult situations, whilst able to maintain confidentiality.
