Sales and Key Event Coordination Assistant
Reporting directly to the Seasonal Coordination Manager within National Buying, the successful candidate will be a pivotal member of the Seasonal Coordination Team, playing a crucial role in driving sales, profitability, and market share growth across all Key Events annually. This role supports the team’s ambitious objective to achieve +0.1 percentage points market share growth at every Key Event through to 2030, achieved sustainably by targeting improved Net Profit through each peak trading period. The successful candidate will ensure consistent and efficient coordination across National departments, enhancing communication flow and aligning timelines to support seamless delivery of Key Event initiatives. A key responsibility will be organising and preparing materials for National Working Groups and Committees, maintaining rigorous control of project deadlines and ensuring data accuracy for national reporting including Key Event wash-ups and strategic reviews. To succeed, the candidate must manage a diverse workload with meticulous attention to detail, demonstrating exceptional organisational and time management skills. A proactive, positive approach to teamwork, combined with a growth mindset focused on continuous process improvement, is essential. Your New Role Data & Systems Management Manage the Seasonal Coordination SharePoint site, maintaining audit trails and ensuring proper filing and archiving of all documentation. Oversee the Seasonal Management Tool (SMT), ensuring data accuracy, timely input, reporting, and proactively identifying opportunities for development and improvement. Ensure accurate and consistent data availability for Key Event season reporting, collaborating closely with NBuy, NSCM, and ADX/NDA teams. Manage the Seasonal Mailbox, responding promptly to queries while maintaining order and organisation. Communication & Relationship Building Build and maintain strong working relationships with relevant inter-department Single Points of Contact (SPOCs), ensuring regular updates across teams. Coordinate alignment calls up to Managing Director level, requiring a proactive approach and meticulous organisation. Timeline & Project Coordination Coordinate timelines for the Seasonal Coordination Team across all 14 annual Key Event periods, effectively managing Working Groups, Committees, Price Changes, Wash Ups, Strategies, and recurring projects. Coordinate seasonal timelines for national departments during critical periods such as Easter and Christmas, ensuring proactive tracking and governance of all actions. Complete, track, and govern all actions within the Key Events Actions Tracker, keeping all relevant departments informed of upcoming or overdue tasks. Meeting & Committee Support Support preparation and coordination of Sales and Key Event Working Group (SKEWG) meetings, including agenda setting, attachments, minute-taking, action tracking, and logistical arrangements. Assist in Sales and Key Event Conference Calls (SKECC), preparing agendas, documenting minutes, and tracking actions. Support the Seasonal Coordination Manager in preparation for National End to End Committee and Managing Director Meetings, including drafting executive summaries and minutes. Project & Process Support Assist the Seasonal Coordination Manager with recurring and ad-hoc projects such as ALDI Local and Small Store Range planning, Dual Merchandising, and Promotional Planning. Support Price Change and Retail Change processes alongside the manager and analyst, including post-implementation audits.
