Rhotic Media is an established financial content agency serving banks, fund managers, trading venues, payments companies and beyond. In 2022, the business embarked on a strategy to amplify work quality and outstanding client service. Clients are increasingly relying on content to be central to their marketing activities. As such, we are building a client service team with a can-do attitude to mirror these ambitions. At Rhotic, quality and service are the key ingredients to our value proposition. We are now looking for a natural "people person" to join our acccount management team. The team work to help our clients piece together their content plans and deepen their relationship with our agency. Our business has several revenue lines - content strategy, content production and content training. We also produce our own title (in print and online), Financial Promoter. Who we wantAs the client services administrator, you’ll be an important figure in supporting our revenue generating team. The role is in the engine room of our agency, so you'll enjoy a fast-paced and collaborative working environment. On a weekly basis, the client services administrator will be responsible for the following tasks: Control the handling of supplier invoices on a daily basis, ensuring upload to Xero. Mark supplier invoices for authorisation on Xero. Coordinate meetings and functions for revenue generating colleagues. Manage travel, hotel and airport transfers for Rhotic employees. Creation of internal meeting minutes. Creation of client summary notes from external client meetings. Creation of contracts (within provided templates) for new clients. Updating the customer relationship management (CRM) system with invoice numbers. Updating Xero with CRM reference codes. Answering calls and emails from external stakeholders. Reconciliation of payments on Xero. Creation of client invoices. Assist in the preparation of VAT expense receipts. Input of employee pensions data. Input and control sub contractor invoices. Creation of colleague worklogs using MS Excel. Naturally, you’ll be organised, with solid administrative skills and you may already know your way around a CRM system. You’ll be working with the key account managers, to ensure clients receive their paperwork in an efficent manner and with the directors of the business to ensure the accounts databases are up to date. You’ll also be expected to complete order confirmations and commission agreements for new bookings, liaise with the finance team on invoice queries and manage administrative duties on the MS Office suite of products. You’ll be a self-starter used to managing multiple priorities. A born organiser, you’ll likely be a confident communicator too. We are looking for someone who thrives in a small, growing business and wants to make a job their own. You may have experience at another agency, or you’ll be experienced in working with marketing professionals.
