JOB TITLE: Post & Print Assistant

LOCATION: Ealing, West London (W5 2HL) full time office based

PAY RATE: £14.96 PAYE Per Hour

DURATION/HOURS: 3 months (possible extension)/ Mon-Fri 35 hours

START DATE: ASAP

Role purpose:

  • The post, print and document solutions team is a key part of the ICT and Property Services department, responsible for delivering the post and corporate print functions across the Council estate.
  • The primary function of the Post, Print & Document Solutions Assistant role is to ensure that incoming and internal documentation is efficiently and accurately distributed within the organisation and that outbound documentation including print and outbound mail is prepared and despatched in accordance with agreed processes and timescales.

Key accountabilities:

  • Ensure all mail is sorted, distributed, collected, and dispatched as per agreed processes, rotas, performance targets and SLAs.
  • Use mailing and other equipment to process incoming mail & prepare and dispatch outgoing mail in line with the appropriate procedures.
  • Prepare and batch document types ready for scanning and scan all documents to a high quality within agreed timescales, following the naming/indexing convention specified in the appropriate procedure.
  • File daily scanned documents in line with retention policy and arrange disposal of documents after agreed time period following GDPR principles.
  • Manage stock levels and re-order basic stationery and materials when required e.g., envelopes.
  • Undertake the day-to-day management of the mailing equipment to enable efficient processing of materials.
  • To be aware of and comply with the principles of GDPR, particularly in respect of the confidentiality and privacy of the information handled by the post holder whilst carrying out their duties.
  • Use IT systems (including directories, printing of lists and labels, and email) to manage workflow, provide and receive information and assist customers in receiving postal and distribution services.

Knowledge, skills & experience:

  • Experience of working within a busy service delivery environment and the ability to work successfully to KPI/SLA targets.
  • Ability to prioritise and work on own initiative within a busy and demanding environment, with excellent personal organisation skills to enable working to strict deadlines.
  • Ability to problem solve and use initiative to respond appropriately to customer queries and issues, recognising when to escalate issues to management.
  • Ability to demonstrate good communication and customer service skills, both written and verbal.
  • Working knowledge of Microsoft office packages including Excel, Word and Outlook.
