We are seeking a highly organised and efficient Personal Assistant to provide comprehensive support to a busy individual, ensuring smooth daily operations and facilitating effective time management. The Personal Assistant will be responsible for handling a wide range of administrative tasks and personal errands, acting as a reliable point of contact and liaison between the Director and various stakeholders. The ideal candidate will be proactive, discreet, and possess exceptional communication and multitasking skills.

Responsibilities:

Calendar Management: Maintain and organize the Director’s schedule, including appointments, meetings, and events. Proactively address any scheduling conflicts and ensure timely reminders are set.
Communication: Serve as the Director's primary point of contact, managing incoming communications such as emails, phone calls, and messages. Prioritize and respond to inquiries promptly and efficiently.
Travel Coordination: Arrange travel itineraries, including flights, accommodations, ground transportation, and necessary documentation. Anticipate travel needs and ensure seamless logistics.
Administrative Support: Provide comprehensive administrative assistance, including preparing documents, reports, and presentations, managing expenses, and organizing files and records.
Personal Errands: Attend to personal errands and tasks, which may involve shopping, making reservations, organizing events, or handling ad-hoc assignments.
Meeting Preparation: Compile materials and briefs for meetings, assisting the Director in staying well-informed and prepared for engagements.
Confidentiality: Maintain strict confidentiality when handling sensitive information related to the Director's personal and professional matters.
Relationship Management: Foster and nurture positive relationships with colleagues, clients, and stakeholders on behalf of the Director.
Time Management: Aid the Director in prioritizing tasks, meeting deadlines, and maximizing productivity through effective time management strategies.
Problem Solving: Demonstrate quick thinking and resourcefulness in resolving unexpected challenges or obstacles. Teamwork: Collaborate with other Personal Assistants and report to the Executive Assistant as required. Research: Conduct research on various topics as needed, providing insightful summaries and recommendations to support decision-making processes.

Requirements:

Demonstrated experience in an administrative capacity, showcasing adept organizational and administrative prowess. Outstanding communication skills, encompassing both written and verbal proficiency, enabling effective interaction with diverse audiences.
Proficiency in utilizing productivity tools and software, such as the Microsoft Office Suite and scheduling applications. Exemplary discretion and trustworthiness, given the responsibility of handling sensitive and confidential information. Robust multitasking capabilities, maintaining composure in demanding situations and adeptly managing multiple priorities.
Flexibility in work hours to align with the Director's schedule.
Keen attention to detail and a commitment to accuracy across all tasks undertaken.
Proactive and self-motivated demeanor, demonstrating initiative and the ability to work autonomously.
Possession of a valid driving license and access to a car due to location requirements.
A positive and professional demeanor, adept at representing the employer with integrity and diplomacy.
