We are delighted to be recruiting a Finance Assistant for a fab independent events & experiential agency based in West London. With approx. 25 people you will work in a team of 3, reporting into the Senior Financial Accountant and also work closely with the Operations Director.

Responsibilities for the Finance Assistant

Finance

  • Handle the processing of supplier invoices and ensure they are properly matched to Purchase Orders and logged on internal systems
  • Manage the Purchase Order system in terms of projects and budgets to support the Project delivery team and maintain fiscal governance.
  • Keep the company cashflow documentation up to date
  • Creating invoices and uploading to client finance portals as discussed.
  • Support and offer opinions on cashflow and currency exchange.
  • Manage the processing of company expenses across cash expenses and Credit Cards, ensuring expenses are in line with relevant policy.
  • Perform reconciliation and reporting from the finance systems as required, both for operational reporting and to support project teams in reconciliation.
  • Execute payment runs, process vendor payments efficiently and ensure payments are posted to the finance system accurately.
  • Support Lead Accountant as requested in the preparation of monthly management reporting
  • Support in VAT claims, in both the UK and EU

There may also be some support for Office Management required on the days that you are in the office:

  • Manage the issue and logging of key fobs and keys to the office
  • Liaising with various contractors in support of office maintenance
  • Ensuring adequate stocks of stationery
  • Organising couriers, collecting post etc.

The skills and experience required of a Finance Assistant:

  • Studying towards AAT / ACCA / CIMA
  • Proven experience in a similar finance role, preferably within the creative sector such as events/ advertising / media / digital / theatre / TV.
  • Sage accounting software desirable
  • Good level of general computer literacy, particularly regarding Microsoft applications, especially Excel (to include pivot tables and lookups)
  • Experience of working in multiple currencies across purchasing and invoicing.
  • Excellent attention to detail and organisational skills.
  • Ability to prioritise tasks and meet deadlines in a fast-paced environment.
  • Strong communication and interpersonal skills.
