Job Title: Finance and Administration Coordinator

We are seeking a meticulous and proactive Finance and Administration Coordinator. The ideal candidate will be responsible for processing joiner forms, ensuring accurate capture of information onto a master sheet. Additionally, the role involves performing data quality checks and maintaining communication with relevant teams.

**Responsibilities:**

1. **Data Management and Quality Checks:**

- Process joiner forms accurately onto the system.

- Ensure all information is captured meticulously onto a master sheet.

- Conduct data quality checks to maintain accuracy and integrity of records.

2. **Communication and Liaison:**

- Liaise with various functions within the IT team to ensure correct amendments of existing records in the system (e.g., resignations, changes to circumstances).

- Communicate effectively with relevant teams to resolve any discrepancies or issues.

3. **Customer Service:**

- Provide customer service support to joiners who pay subscriptions through direct debit.

- Assist joiners with problem-solving related to direct debit form mandates and address any queries promptly and professionally.

4. **Finance Administration:**

- Maintain the specials finance email box and respond to inquiries in a timely manner.

- Create billing reports on a monthly basis for all sources.

- Generate and distribute sales invoices for all agreed billing reports using free text invoice templates.

- Record invoices onto the finance system and ensure timely issuance for payment.

5. **Financial Reconciliation:**

- Record all remittances and perform invoice reconciliations.

- Follow up on outstanding invoices and ensure timely resolution.

- Perform bank reconciliations in the accounting system.

6. **Expense Processing:**

- Process expenses and credit card transactions accurately and efficiently.

7. **Compliance and Ad Hoc Duties:**

- Verify that all transactions comply with financial policies and procedures.

- Undertake any other ad hoc duties assigned by the Financial Controller to assist in achieving Finance Department objectives.

**Qualifications and Skills:**

- Proven experience in finance administration or related roles.

- Strong attention to detail and accuracy in data entry and processing.

- Excellent communication and interpersonal skills.

- Ability to work independently and collaboratively within a team environment.

- Proficiency in Microsoft Office Suite, particularly Excel.

- Familiarity with accounting software and systems is preferred.

- Prior experience in customer service and problem-solving is an advantage.

**Note:** This job description outlines the primary duties and responsibilities of the Finance and Administration Coordinator role. However, additional tasks may be assigned to support the needs of the Finance Department.
