Role Overview

We are currently recruiting for a Facilities Assistant to join our passionate and driven team based at Telford.

The Facilities Assistant is the onsite face of OCS. They are the first point of contact on site from a building perspective to ensure that the contract is delivered to the required standard and compliance is met.

Key Responsibilities:

  • Ensuring all tasks requested or carried out on behalf of the client are logged on the helpdesk and assigned to the correct person
  • Ensure all tasks are completed within their SLA, or make FM’s aware of any that might fail so we can mitigate raising any issues or concerns
  • Daily building walks/audits
  • Carrying out post room duties – Inbound and outbound
  • Complete regular stocktakes of stationary & hospitality and place orders as required
  • Meeting contractors/ OCS technicians and ensure relevant H&S paperwork is completed
  • Ensuring contractors paperwork is received and filed correctly for auditing purposes
  • Keeping a log of cleaners times/ holiday/ sickness and completing weekly timesheet
  • Making FM’s aware of any potential issues on site so they can be dealt with in a timely manner
  • Carry out low level PPM tasks as per schedule
  • Completing any other reasonable management request deemed within their capability in the allotted timeframe
  • Complete training where required
  • Deliver Tool Box Talks to the team where required and obtain signatures
  • Prepare meeting rooms as and when requested via the helpdesk, including providing hospitality
  • Ensure cleaning consumables are ordered monthly and sufficient stock is kept on site
  • Lead daily team meetings
  • Supporting furniture moves in and out of the building
  • Reporting of near hits and encouraging onsite teams to report them
  • Support security in emergencies and act as Incident Commander in evacuations

About You:

  • Applicants must have the right to work in the UK

Compliance requirements:

  • Using BlueHook and/or Concept, monitor and deal with all planned preventative (PPM) and reactive maintenance. Liaise with engineering team to ensure jobs are completed within their SLA. Escalate any that may fail to FM’s
  • Using the PPM schedule sent out each month monitor ppm progress and liaise with the helpdesk in a timely manner to get schedule
  • Check all PPM paperwork to see if any reactive works have been identified. Ensure works are completed and relevant paperwork is attached to the original PPM paperwork
  • Carry out regular hazard spotting walkabout of the building and grounds and raising any concerns identified. Encourage site teams to report any potential hazards to yourself.

Othe requirements:

  • Must be prepared to undertake a Security License Course and First Aid at Work (in order to obtain an SIA License)
  • Must be accepting of any training required to complete the role
  • Must be prepared to complete the occasional weekend duties due to power downs etc
