EXECUTIVE ASSISTANT (Part-time and fixed term)
Please note the successful candidate will be available to start by early May 2024.
Our client is a flourishing membership organiation dating back to the 12th century. Still based at it't original site and steeped in history and splendor this is a truly unique place to work.
This is a 14 month maternity contract.
22.5 hours per week (flexible on when the hours are worked).
£30,000 per annum
Office based, City of London.
About the role
To provide senior level administrative support to the CEO and to ensure the smooth running of the Company’s Court Board and subordinate Committees (of which there are twelve). Responsible for managing the Company’s Strategic Plan through the monitoring of deadlines, the co-ordination and preparation of all meetings involving staff and/or Company members.
Responsibilities and Duties
• Ensure all papers for Committees are prepared and disseminated on time
• Collate responses for all Committee meetings
• Monitor Action Grids and Committee follow ups to ensure timely delivery
• Minute taking at Committee meetings and at Court "deepdives"
• Monitor, screen, respond to and/or distribute incoming communications
• Supervise the management of the CEO and Chair's diary
• Assist the CEO in directing staff activity
• Design, develop and maintain effective information management practices with the technical support of the IT Manager
• Support the IT Manager with the coordination of in person and virtual meetings
• Assist the CEO with ad hoc projects and follow-up with staff where required
• Conduct research, collect and analyse data as required.
• Maintain a strong working relationship with all departments as well as the board
• Review operating practices and implement improvements where necessary
