Organisation Description

My client is looking for an excellent Accounts Administrator with Technical experience to join their busy team

Full or part qualified AAT is preferred for this role

Extensive experience in Microsoft, Excel in particular is required for this role

Job Description

To provide administrative and clerical services to the Technical Department in order to ensure effective and efficient administrative operations, and timely reporting.

Duties will include:

• Prepare and process Purchase Orders, in a timely and accurate manner according to company policies and procedures.
• Liaise with customer/suppliers for sourcing parts and materials when required.
• Track delivery schedules.
• Report late/non deliveries.
• Liaise with stores on the movement of materials.

• Check supplier invoices against purchase orders for accuracy.
• Report discrepancies to accounts department.
• Initial ‘checked’ box on invoice.
• Allocate materials costs from purchase invoices to jobs for costing purposes and return invoice to accounts department for processing.

• Compile spreadsheets on a unit and total basis to show labour, materials and miscellaneous costs on individual jobs by department.
• Examine records such as timesheets and Purchase Orders to obtain data.
• Liaise with other personnel to ensure accuracy of data.
• Determine a selling price from the data in accordance with company policies and procedures and communicate to the Client.
• Obtain a Purchase Order from the Client.
• Prepare reports showing total costs, selling price and profit margins.
• Meet month-end deadlines.

• Carry out general administration duties including processing documentation.
• Provide holiday/sickness cover for all administrative duties.

• Liaise with the client and third parties for the technical information regarding quotations, tenders and sales.

• Update and maintain the database on a daily basis to ensure all information is up to date.

• Cover reception duties over the lunchtime period on specified days.

• All employees are expected to conduct their jobs in accordance with OHSAS18001 Safety Standards.
• Report all accidents or near misses to Quality Department.
• Work in a safe and diligent manner and comply with policies and procedures.
• Keep work area tidy and safe.

• Ensure total quality principals are applied and maintained in a team working environment with focus on improvements that ensure client satisfaction and business performance.

• Look for ways to improve quality and performance.

• Whilst work activities are being carried out to ensure work environment procedures and legislation requirements are being implemented.

• Ability to work at a fast pace.
• Extensive experience in IT systems such as Microsoft Word and Excel.
• Good oral, listening and communication skills - both written and verbal.
• Enthusiastic and willing to learn.

• Demonstrate initiative and like to problem solve.
• Ability to work with and engage staff at all levels of the organisation.
• Flexible approach to working hours and practices.

• Should have some technical experience or a willingness to learn as the job will require technical knowledge.
