Organisation Description

To provide professional administration and secretarial services to the elected members within the Region and Branches and to support the work of the Head of External Affairs and the Development Manager, as required.

Job Description

ADMINISTRATION
1. Provide a consistently high standard of administrative support for the Regional Chairman, the Regional Secretary, the Head of External Affairs and the Development Manager.
2. Assist with the collation of information for the annual NI Diary and Handbook.
3. Maintain safe working practices in accordance with the health & safety policy and procedures.

EVENTS
4. Support the planning, organisation and administration of regional and branch events; this will include the production of invitations, attendance lists, delegate packs, seating plans etc.
5. Develop project plans for major events to ensure that all the necessary people are informed and the events run smoothly.
6. Attends events when required to support the member activity and represent the company in a professional manner.

COMMUNICATIONS
7. Provide a ‘hub’ for all member communications within Northern Ireland, ensuring that Region and Branch Officers, the Head of External Affairs, the Development Manager and the Recruiters receive relevant information at the appropriate time.
8. Ensure all communications (written and verbal) with members, colleagues, external organisations and the general public present an image of an effective, professional organisation.
9. Maintain and update the NI regional website with copy supplied by the Head of External Affairs or the Development Manager to ensure that the information is accurate, relevant and well presented.
10. Develop and manage effective social media platforms to ensure effective communication with members.
11. Distribute mass e-mails on behalf of the Members, the Head of External Affairs NI and the Development Manager once prior approval has been received. 

MEMBERSHIP RECRUITMENT AND RETENTION
12. Co-ordinate the production of welcome packs for new members and dispatch as required.
13. Respond to telephone enquiries and correspondence in accordance with the agreed standards and procedures.
14. Undertakes other duties relevant to company activities commensurate with the level of the post and as directed by the Head of External Affairs NI.

Person Specification

Experience:

• Proven experience of working in a secretarial/administration role, without close supervision ideally alone
• Dealing with the public, providing excellent customer service
• Drafting own correspondence (email and letter)
• Maintain standards of accuracy and attention to detail when working to deadlines or changing priorities
• Sound working knowledge of Microsoft Office applications (specifically Word, Excel and PowerPoint) and good keyboard skills
• Effective use of social media to support corporate communications 

Qualifications:

• GCSE English Grade B or above or equivalent

Knowledge:

• Advanced word processing skills using the MS Office suite 

Skills:

• Excellent communication skills (written and interpersonal)
• Proven organisational skills and an ability to prioritise a diverse workload
• Ability to work to tight and often demanding deadlines relating to complex tasks
• Flexible/Adaptable approach to work
