Our client is a highly successful and busy Property Services Organisation who has an opening for a Portfolio Property Coordinator. This position requires a dedicated person to ensure the efficient and smooth running of the corporate instruction to manage the client's property portfolio. The Main Duties for the role will include: - Efficiently dealing with the public both face to face and over the telephone to provide a high quality service - Dealing effectively with any telephone queries and reporting back any difficulties to the line manager and taking messages. Resolving any complaints/dissatisfaction - Communicating regularly with the client landlord to update them with any information - Opening and dating stamp mail and dealing appropriately, dictating letters accordingly. - To be aware of an to control the full use of all office systems so that the office runs smoothly - Monitoring references on tenants with regard to replacements when tenancy is already in force. Being aware of and able to explain fully the terms and conditions of business and to negotiate wherever possible. - Monitoring requests for repairs and maintenance from tenants or landlords, ensuring they are dealt with quickly and efficiently and ensuring contractors bills, water rates etc are sent to accounts for payment - Advising clients to obtain legal advice on legal matters and chasing over due rent for their portfolio - Dealing with insurance claims where property/contents of property have been damaged - Being aware of any lets that are reaching the end of their term and re-negotiating extensions between the clients and tenants - Arranging and carrying out check-ins, property inspections and check-outs and inventories - Providing reports, feedback and communication on a regular basis with the client ensuring reporting deadlines are met Essential requirements for the role of Portfolio Property Coordinator are: - Previous experience in a similar role within the property sector - Strong administration, communication and organizational skills - Strong excel skills - Being aware and trained on the legal requirements i.e. 1988 & 1996 Housing Act and to operate with property care accordingly; to follow any further legislation introduced. Ensuring you explain the legal implications for all clients. - To be aware of the Rules of Conduct drawn up by the Association of Residential Letting Agents for the protection of the public and to work within them. - To have working knowledge of IT operating systems in the branch, security, backing up and maintenance of systems In return, you will be offered a salary of £17,000 - 19,000 per annum (depending on experience).
