My client is looking for a Project Support Executive / Executive Assistant required, North / East Leeds. Working for an established and widely respected organisation who work closely with firms across the UK to facilitate and coordinate training and apprentice schemes within the engineering, construction, building trades and manufacturing sectors. Must have previous project management support, executive assistant background, knowledge of audits and compliance and extensive support at Chairman / Company Secretary level.
Main Duties:
" Development, implementation and review of organisational policies and processes
" Monitoring and supporting staff/departments with compliance, working with all teams to ensure all regulatory requirements are fulfilled
" Working to ISO accreditation and company guidelines
" Provide guidance to staff and management on regulatory authority related activities
" Regularly update, maintain and monitor systems/processes review and recommend as necessary
" Manage and maintain contracts database whilst working to develop business improvement plan
" Auditing undertaking internal compliance checks, reviews & interviews across departments and responding to regulatory external audits, thematic reviews and data requests
" Occasionally attend regulatory meetings, seminars and events where required in relation to compliance, collating information and creating reports, feeding information back to the appropriate contacts in the business
" Update all departments on any planned or immediate changes/actions from the regulators
" Responsible for production of letters, reports, plans and all internal documents as appropriate working closely with data analyst to create and collate detailed reports
" Develop friendly, positive and supportive relationships with external and internal customers, and to provide them with excellent service at all levels
" Complaint handling
" Audit and compliance- to support the company secretary and other senior members including the chairman throughout general audits compliance monitoring and the internal intranet and compliance regulatory systems
" Working closely with appeal panel coordinating throughout the process
Essential skills, qualifications and experience:
" Project management support experience at senior level or in a similar capacity
" Ability to multitask and manage heavy work load
" Excellent time management skills and proven ability working to strict dead lines
" Extensive document management utilising keen eye for detail
" Monitoring internal department and working to create and meet action plans
" Provide cohesive support and service to the company secretary and chairman
" Proven background of attending meetings and creating agendas, and responsible for all meeting minutes taking and distributing
" Responsible for quality assurance improvement
" Proven background working to targets, KPI's and core objectives
" Ability to build and develop lasting relationship across all levels whilst dealing with strong characters and difficult situations whilst remaining impartial
" Proven history of participating and contributing to team meetings remaining supportive and providing constructive feedback
" Excellent interpersonal skills high levels of written and oral communication (excellent grammar and spelling) and the ability to relay information accurately
" Proven hands on experience of producing in depth reports for senior management and board level utilising excellent proof reading skills
" Excellent MS Office skills including word, excel, outlook, PowerPoint, SharePoint (ideally SAP) and intranet systems
" Educated to A-Level or similar ideally hands-on knowledge of working in an educational environment
" Excellent planning skills leading by example driving the department forward utilising excellent negotiating and influencing skills
Desirable:
" Educated to A Level standard
" Experience as an internal auditor
" Holder of a recognised quality or audit qualification
" At least 2 years experience of working in an educational environment
" Experience working in a variety of organisations to demonstrate adaptability and achievements in differing organisation environments and activities.
