Our established and expanding client are currently recruiting for a proactive Project Administrator to join their busy team on a 1 year contract, covering maternity.
Job Description
You will be expected to provide efficient, timely administrative support to the Project Team and assist the General Manager in the monitoring of the performance standards at the Project.
Other duties will include:
* Responsibility for the Operational Management of the Project Offices
* Assist the General Manager in all elements of Insurance and Legal claims made against the Project, ensuring Service Providers and the Authority adhere to the appropriate claims procedure
* Representing the company on multi disciplinary groups and committees as appropriate.
* Manage all office records and filing systems, both electronic and paper-based
* Manage petty cash account, payments for functions, stationery and other items
* Deal with all incoming and outgoing mail, ensuring accurate records are kept of all communications to the office
* Maintain the highest standard of communication and presentation via telephone, email and in person with the client, consortium members and the public
* Organise and co-ordinate all meetings required to advance the specific strands of the project in line with the project plan and the direction of the GM
* Coordinate Requests for Information from the Authority and distribute the responses
* Maintain effective information management, monitoring and communication systems
* Produce and collate all reports for presentation on a Monthly basis
* Assist in developing a Project Quality Plan
* Auditing and monitoring of the Performance of Soft Services against Contractual
* Performance Measurement Systems (PMSs) and agreed frequency levels
* Coordinate feedback from all participants and ensure reports are logged on the Project server
* Provide any exception reports as required and detail actions
* Investigate and report on any complaint made about the services in accordance with the Project’s complaints procedure and ensure with Service Providers that proven inefficiencies are immediately rectified
* Maintain a programme of personal professional development and participate in team objective setting.
* Participate, as required, in the orientation programme for new staff recruited to the Company.
* Ensure that confidential information is not disclosed about the Companies or their associated companies (including information regarding patients and staff) to any unauthorised member of staff, or to anyone outside the employment of the
* Companies. In addition, abide by the confidentiality policies of the Authority and the Companies.
* Travel will be required in accordance with the Management arrangements of the Project.
* This is a 1 year contact covering maternity leave *
Person Specification
We are looking for a bright and enthusiastic individual who enjoys being the main point of contact in a team, ensuring the smooth running of a project or assignment.
Your skills and attributes will include:
* Strong Excel skills
* Well organised and methodical in approach
* Proactive and constantly striving to reach all deadlines
* Previous Office Administration / Project support experience
* Excellent communication skills
* The ability to multi-task
* Own transport and valid driving licence.
This role will also require occasional travel to the Bromley area therefore, we are seeking a candidate who can be flexible and travel when needed - even at short notice.
