Responsible for all HR administrative support to the Human Resources Director EMEA.
Responsibilities:
- Completes letters of employment for all new starters up to Manager Level, sends out offer letters and contracts, ensures reference requests and medical questionnaires are obtained and any appropriate follow-up action is taken.
- Ensures all personnel record files are up to date and accurate at all times.
- Completes all administration regarding contract variations, maternity / paternity leave requests, absence / performance management
- Takes meeting notes when required during disciplinary and grievance hearings
- Manages the on-boarding process - sending out surveys and monitoring response, organises orientations schedules for new starters
- Provides Payroll with monthly reports on new starters, employee changes and hourly staff pay.
- Manages the administration of employee benefits including pension plan and private medical insurance.
- Assists with all recruitment requirements - including setting up interviews and managing correspondence to candidates.
- Advising manager and employees on general employment law queries, Company policies and procedures and escalating to the HR Director when appropriate
- Arranges and books training courses for employees and maintaining all training records
- Monitoring probationary periods and liaising with managers to confirm / extend / not confirm probationary
- Maintains accurate records of employees’ holidays and sick leave.
- Manages the long-service awards programme.
- Collate and log all end of year performance reviews
- Provides support with creating employee data reports and metrics as required.
- Handle confidential information.
- Provide organisational support for all staff events, such as Christmas party
Knowledge and Experience:
- Be able to demonstrate through previous experience of high level administration.
- Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
- Experience with coordinating detailed travel arrangements for multiple travellers
- Must be skilled in a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint)
- Knowledge related to use and operation of standard office equipment.
- Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Excellent communication and organizational skills.
- Have a highly professional manner.
- Experience within a HR department is essential
- Some travel domestically and internationally may be required
