An amazing opportunity has arisen at my clients headquarters for a Facilities Administrator. This role is to cover maternity leave and so will commence mid to late February and last approximately 9-12 months.
In this role you will act as the administrative contact for the facilities department. The administrator is the face of the department therefore you will deal with all departmental internal and external telephone calls, pool car bookings, meeting room audio and visual equipment and managing general facilities queries.
Duties will include:
Liaison with HR regarding staff leaving the company.
Administer petty cash for the office
Maintenance of the computer based room booking system.
Administer requests for additional equipment and room lay out changes.
Administer room cancellations/modifications as requested
Video conferencing booking and training for staff as necessary.
Issue and control LCD projectors and conference phones for conference rooms.
Liaise with Catering Manager regarding catering requests and the use of facilities.
Produce weekly menu and upload to department intranet site.
Organisation of on site seasonal corporate functions and presentations for up to 500 staff in conjunction with the Catering Manager.
The management and upkeep of the cashless swipe card vending system, including customer management, card issues and monthly account revalue to salary and transfers and recharges.
Manage a fleet of six pool vehicles.
Maintain an accurate log of all demonstrator car bookings.
Ensure servicing, valeting and damage repairs are carried out on time and recharged as appropriate.
Liaise with local dealers for servicing and repairs.
Co-ordinate the return of pool cars to the relevant lease company on a 3 or 4 year basis.
Explore and research opportunities with major motor manufacturers for the future provision of vehicles to further expand the service offered to the business.
Managing the driver training programme for relevant employees and liaise with the provider, to schedule training dates and locations for employees on a quarterly basis
Administer monthly consolidated invoices
Take minutes/schedule meetings/make room bookings administer invites for the committee
To undertake ad-hoc project responsibilities as and when required.
