Assist in dealing with correspondence from authors and editors, handling queries and negotiating deadlines.
Assist with email and telephone chasing throughout all stages of the publishing process to ensure schedules are adhered to.
Maintain individual project databases,updating fields to ensure records are accurate and generating reports to assess project status.
Send out invitations to authors, log acceptances and declines, and issue contracts accordingly. Where required, assist with the outsourcing of such tasks with external suppliers.
Acknowledge receipt of submitted manuscripts and check them against In-house specifications to make sure all relevant material is supplied for review purposes.
Check the permissions status of all artwork and chase permissions from authors and commercial publishers when necessary.
Send manuscripts to the editors for review via email sites and pass feedback on to authors for revision if necessary.
Prepare manuscripts for transmittal to production and assist with the upload/download of files from and e-proofing sites.
Offering support to production managers and development editors by monitoring and prioritising work within the shared mailboxes.
Liaise with the finance department to organise the payment of fees and expenses.
Open and sort mail for the department; draft individual letters and prepare merge letters, emails and faxes.
Photocopying permissions, scanning proofs and filing as required.
Make arrangements for internal/external meetings and take minutes where required.
Set up and maintain electronic and hard copy files and archive business-critical and legal material.
Candidates ideally should have good knowledge of office systems and procedures, competent use of MS office applications including outlook. Word, Excel and Access
experience of using database systems would be desirable. candidates should also ideally have excellent time management and organisational skills.
