JOB PURPOSE:

The purpose of the post is to provide generic clerical administrative support to the Social Services Department

MAIN DUTIES:

  • The Postholder shall be responsible for assisting in the updating of Social Services Information Systems, data input and retrieval to the Department, including recording and processing of referrals for the Locality.
  • The Postholder shall be responsible for setting up new files and systems for the Locality Team, eg, storage, archiving and retrieval of closed files in line with the operations of the Locality Office.
  • The Postholder shall be the point of contact for professional staff of other agencies and clients of the Department in relation to matters pertaining to services provided by Social Service Department.  This will include the taking and passing of messages as appropriate.
  • The Postholder shall have responsibility for opening, sorting and distribution of incoming and outgoing mail.
  • The Postholder will be responsible for providing typing support to the Locality Team, eg, Care Plans, Court Reports etc to statutory requirements.
  • The Postholder shall act as cashier for the Locality Office, in receiving of monies for the Locality and issuing of receipts.  In addition, to dispense monies from petty cash account and client account to relevant social workers/clients.
  • The Postholder shall maintain leave and sickness records for the Locality.
  • The Postholder shall be responsible for supplies and the maintenance of stock levels for the Locality, eg, monitoring of stationery.
  • The Postholder shall be required to update and maintain office inventories in line with Audit requirements.
  • The Postholder will assist Locality Office Manager and Admin Assistant in carrying out various administrative duties in line with Financial regulations, eg, coding of invoices.
  • The Postholder will undertake Reception/Switchboard cover as and when required.
  • The Postholder will undertake registrations for the Department (eg BD8s) and be responsible for the issue of disabled persons parking permits.
  • The Postholder will be required to minute meetings when necessary.
  • The Postholder will be responsible for the convening of meetings and appointments for Locality staff.  This will include diary management and minuting of all statutory meetings, eg, Case Conferences.
