Leading Global Insurance Broker requires a Receptionist/ Administrator to act as first point of contact for all visitors and staff, handing both internal and external switchboard calls for the company in a calm, courteous and professional manner. Additionally you will provide or manage document production/handling, office systems, document storage/retrieval and other administrative support as required.
As Receptionist you will meet and greet visitors to the Reception area, providing a seamless introduction to the business and ensuring the visitor signing in procedure is followed. You will be aware of the importance of answering the telephone as the first point of contact and provide
consistently high levels of customer service.
You will maintain the filing and archiving systems to ensure redundant data is removed from the filing system and stored accordingly. Your remit will also encompass copying, faxing and scanning documentation as required, meeting room diary management and accepting documents from individuals/couriers, (forwarding in a timely to relevant persons), whilst
monitoring, collecting and franking post.
Additionally you will act as the Administration Assistant, undertaking background research/investigation, producing reports and briefing notes, providing administrative support for routine tasks and dealing with invoicing. You will maintain an accurate and tidy filing system, retrieve and replace files including delivery to required destination, arrange for files to be lodged to and retrieved from off-site storage as directed and organise the destruction of documents and files in accordance with regulatory requirements.
The right individual will be a presentable and enthusiastic professional who is able to work off their own initiative and with limited supervision. You will have a high level of administrative and
organisational skills and a proven record of exercising judgement and discretion. PC appreciation /Microsoft Windows and keyboard skills are essential. Basic use of word-processing/e-mail/intranet and internet are a prerequisite and basic/intermediate use of spreadsheets and databases is an advantage.
