This is a great opportunity for a self motivated and organised individual, to support the development to a high quality family/ assessment Centre by providing a first class administration service.

Job Description

To undertake all administrative duties required by the team. This will include collating statistical information to facilitate reporting to external and internal bodies; preparing invoices and reports; responding to phone calls from referrers and parents and providing administrative support to the Project Manager. The post also includes oversight of IT functions in the offices and the provision of receptionist duties for the service.

Main Duties & Responsibilities

• To service business contract and internal monitoring requirements through collecting and collating statistical information
• To provide administrative support to the Project Manager.
• To undertake receptionist duties, greeting all visitors and staff and acting as the first point of contact for the service.
• To ensure visitors sign in and inform appropriate staff members of their arrival.
• To take primary responsibility for the administrative work of the service including taking and managing phone calls and dealing with the post on a daily basis, ensuring the effective use and management of filing and archiving systems.
• To book staff to run a crèche service for those accessing the service as the need arises and as directed by the Project Manager.
• To organise and service the team and multi agency meetings including arranging the attendance of participants, booking of rooms and minute taking as the need arises.
• To collect and collate data and produce monthly service statistical reports for the service manager and Coram’s Finance Department.
• To collect relevant information and process invoices in line with Coram systems.
• To draw up and manage purchase orders in line with the Coram system.
• To take responsibility for managing petty cash.
• To act as administrator for the service’s IT systems and collating of data.
• To work within Coram Family’s policies at all times.
• To undertake such other duties falling within the remit of the job under the direction of the Project Manager.

Skills & Experience

• Have experience of working in administration in an office environment to understand the basic administrative support needs of a busy team.
• Have a clear understanding of the needs of a busy social work team working under pressure
• Have demonstrable skills in negotiating with people from varied professional backgrounds
• The ability to listen to and support people, particularly parents, who may be distressed and agitated
• Have a good understanding of the difficulties that families and children can face.
• To have some understanding of the services for families and children including the court system
• Have very good written and spoken English
• An ability to collate and manage substantial amounts of data and financial material
• To be able to type with a minimum speed of 50 w.p.m using a computer and have demonstrable skills in working with at least Word, Excel, Outlook and PowerPoint,. The ability to use Access is also an advantage.
• To be able to support and train others in the use of these IT programmes
• To be able to create spreadsheets for managing detailed information about centre activities and about the application of grant funding
• Ability to work on own initiative and as part of a team
• Ability to contribute effectively to meetings
• Ability to plan and use time effectively and to prioritise tasks

• A qualification or training relevant to administration would be an advantage.

£19,377 - £24,519 per annum including outer london weighting
Full time: 35 hours per week
