A very small offshore oilfield services company run by a young team requires a dedicated proactive Personal Assistant for one of its Directors.

The ideal candidate must be highly organized, work well under pressure, and a talented individual of high calibre who is able to provide first class secretarial and administrative support to this individual. The successful applicant will be able to ‘hit the ground running’, be able to multi-task, work well under pressure, and be a positive, energetic self-starter. You will support the Director and be expected to build an extensive knowledge of the organisation, its aims and objectives to help the Director in his daily business activities. You will have impeccable oral and written communication skills with a keen attention to detail.

The post is based from a well furnished home office in a Regents Park.

Unusual working hours will apply including early starts, late finishes & weekend work.

Main Duties

•Undertaking secretarial work.
•Arranging diary appointments: e.g. meetings, booking venues and travel.
•Taking telephone messages.
•Putting together travel plans.
•Maintaining and organising the files of extensive international investment portfolio of these coulples
•Preparation of files for meetings and accounts
•Giving daily updates by email and text
•English and French has to be immaculate due to writing documents on a regular time pressured basis.
•An excellent PA background essential. Minimum 10 years PA experience.
•Experience of meeting regular, short notice deadlines and of providing accurate and speedy secretarial/administrative support.
•Experience of establishing and maintaining office and administrative systems.
•Experience of working independently, without close supervision and of prioritising own workload.
•Ability to communicate information effectively to a wide range of contacts, both verbally and in writing.
•Excellent keyboard skills. Knowledge and experience of office and information technology, including Word and Powerpoint, to produce documents, incorporating tables and schedules as necessary.
•Dealing with incoming relevant faxes and post, often corresponding on behalf of the MD
•Screening an abundance of telephone calls, enquiries and requests, and dealing with them confidentially where appropriate
•Carrying out background research and present findings
•updating / maintaining website
•some accountancy and logistics assignments.
