Part time – office administrator

5 days a week (Mon – Fri)

Hours negotiable - 30 hours per week  - 6 hours a day

Location – BS1

£20,000 p. a. pro rata

The applicant

The applicant will be responsible for the processing of new business.  The applicant will need to have basic computing skills in word, outlook and excel. Knowledge of any back office software systems such as First, Fairs or similar would be an advantage but not essential as training will be given.

A basic knowledge of assurance, investments and pensions is essential and the applicant must have attained a pass grade in at least some of the certificate of financial planning subjects and ideally will be working towards further qualifications.

The ideal applicant would be able to organise  their workload effectively, ideally using back office systems/computer software to prioritise tasks. They should have the ability to work without supervision once trained. They should be proactive in identifying and solving day to day problems which may arise and be able to work in a pressurised environment from time to time.

We are a small business and all members of staff are expected to be willing to help out other members of staff with their responsibilities. All members of staff are expected to deal with incoming telephone calls from clients when necessary.

The role will include:

• Obtaining quotations from Insurance Companies via online systems or directly by telephone

• Checking proposal forms

• Submitting proposal forms to Insurance Companies

• Purchasing units of collective investments either via online systems or over the telephone.

• Arranging switches of funds via online system or on paper. Tracking the progress of such switches.

• Recording all transactions on our back office system

• Tracking the process of all new business and following up queries with the Insurance Companies

• Dealing with routine enquiries from clients.

• Dealing with routine enquires from Insurance Companies

• Checking policy documents

• Checking commission received

• Compliant files

• Sending out documentation

• Finalising all data on client data file

• Checking new clients against terrorist list and ensuring money laundering requirements are met
